Controller / processor roles. In many client engagements, including clinical development, pharmacovigilance, clinical operations, data management and related services, Alpha may process personal data on documented instructions from a client or sponsor. In those circumstances, the client/sponsor may be the controller and Alpha may act as a processor/service provider. The relevant contract, data processing agreement, study notice, safety notice or other specific privacy information will govern that processing to the extent it differs from this Notice.
2. Scope of this Notice
This Notice applies to personal data processed by Alpha in connection with:
visitors to our website and people who use website forms or accessibility/feedback features;
business contacts, prospective clients, partners, suppliers, consultants and other professional contacts;

people whose professional information we receive in the ordinary course of business from public sources, referrals, recruitment sources, clients or business partners.
This Notice does not ordinarily govern: personal data processed solely on behalf of a sponsor/client under a services agreement; clinical-trial participant data; adverse-event, product-safety or product-quality information; employee/contractor records; or other data for which a more specific notice is provided. If a more specific notice applies, that notice takes precedence for the relevant processing.

Sensitive personal data. We do not ask website visitors to provide health information, government identifiers, biometric/genetic data, racial or ethnic origin, religious or philosophical beliefs, political opinions, trade-union membership, sexual-orientation information or other sensitive/special-category data through general website forms unless there is a clear need and lawful basis. Please do not submit patient information, adverse-event details or other sensitive health information through a general website contact form. Where sensitive data is required for a specific activity, we will provide appropriate additional information and safeguards.
4. How we collect personal data
Directly from you: for example when you use a Contact Us or Request a Proposal form, send us an email, submit a job application or CV through the Careers area, or otherwise communicate with us.
Automatically: through server logs, security and performance tools, strictly necessary cookies and, where enabled after the required consent, analytics technologies such as Google Analytics 4.
From third parties: such as recruitment agencies, professional referrals, service providers, clients, prospective clients or suppliers where lawful.
From public/professional sources: such as professional networking sites, corporate websites, conference programs, professional directories, publications and other publicly available business information.
5. Why we use personal data and our legal bases
Depending on the circumstances and applicable law, we may rely on one or more of the following legal bases: performance of or steps before a contract; compliance with a legal obligation; our legitimate interests or those of a third party where not overridden by your rights; and consent where consent is required or chosen as the appropriate basis. For sensitive/special-category data, we also identify a separate condition required by applicable law.
| Purpose | Examples | Typical legal basis (UK/EU terminology) |
|---|---|---|
| Operate and secure the website | Deliver pages, prevent misuse, troubleshoot, maintain availability, detect cyber threats and preserve logs. | Legitimate interests; legal obligations where applicable; strictly necessary technologies. |
| Respond to enquiries and provide requested information | Handle contact requests, proposals, service questions and appointment requests. | Steps before a contract; legitimate interests. |
| Provide and improve services | Manage business relationships, understand needs, improve website content and service offerings. | Contract; legitimate interests. |

| Business enquiries and marketing communications | Respond to enquiries and, where lawful, communicate about relevant services or insights. The website does not currently operate a newsletter sign-up or event-registration service. | Consent where required; legitimate interests where permitted by applicable electronic-marketing law. |
| Analytics and website improvement | Use consented analytics such as Google Analytics 4 to understand website usage and improve content and performance. | Consent where required; otherwise legitimate interests as permitted by applicable law. |
| Legal, regulatory and compliance | Maintain records, respond to regulators/lawful requests, enforce terms, protect rights and manage disputes. | Legal obligation; legitimate interests; establishment/exercise/defence of legal claims. |
| Corporate transactions and due diligence | Evaluate or implement a merger, acquisition, financing, reorganization or transfer of business/assets. | Legitimate interests; legal obligations; contract where applicable. |
Direct marketing objection. Where applicable, you have the right to object at any time to processing of your personal data for direct marketing. If Alpha sends you direct marketing communications, you may use any unsubscribe method provided or contact us at dataprivacy@acdlimited.com. We may retain limited suppression information to ensure your preference is respected.
6. Recruitment and resourcing
Alpha recruits for its own workforce and may also provide scientific/professional resourcing services. The website Careers area allows applicants to submit information and CVs directly to Alpha. Applications are received through Alpha’s website and email systems; the website does not currently use a third-party applicant tracking system (ATS).
We use candidate information to assess suitability, arrange interviews, communicate about opportunities, verify professional qualifications and work authorization where lawful, and manage offers or placements.
Where you are being considered for a client opportunity, relevant professional information (for example, your CV, experience and qualifications) may be shared with the prospective client or other parties involved in the selection process, subject to applicable law and appropriate transparency.
We may source professional information from public professional profiles, referrals, recruitment partners or databases where lawful and will provide privacy information as required.
Background screening or right-to-work checks are conducted only where appropriate, proportionate and permitted by applicable law. Additional notices or consents may apply.
Candidate data is retained according to our recruitment retention criteria, considering the role, legal limitation periods, record-keeping obligations, your relationship with us and whether you have agreed or reasonably expect to be considered for future opportunities.
7. Cookies and similar technologies
Cookies and similar technologies are small files, identifiers or code used to operate websites, remember choices, measure usage or support other online functions. The website is designed to keep tracking limited. The relevant categories are:
Strictly necessary: technologies that are essential to provide a function you request, protect the website or remember your cookie choices. A technology is not treated as exempt simply because it is used for performance or by a website plugin. We assess the purpose and necessity of each technology, and rely on an exception to consent only where its legal conditions are met.
Website infrastructure: the website uses WordPress, managed hosting, caching and content-delivery services to deliver and optimise content. The current website uses Hummingbird and Smush for performance and content delivery. We assess any device storage or access separately from the use of these services; performance infrastructure is not automatically exempt from consent.
Analytics/performance: Google Analytics 4 (GA4) may be used to understand website usage and improve performance. Where consent is required, GA4 will remain disabled until the visitor accepts analytics cookies.
Advertising/marketing: Alpha does not currently use advertising, remarketing or behavioural advertising pixels on the website. If this changes, the Notice and cookie controls will be updated as required.
External links and maps: our contact-page maps are provided as links to Google Maps rather than automatically loaded Google Maps embeds. Social-media and appointment-booking links, including links to LinkedIn and Calendly, take you to the relevant external service when you choose to follow them. Those services apply their own privacy notices. Any other embedded content must be assessed and configured separately for any consent it requires.
Consent and control. We use CookieYes to display the cookie banner, record cookie choices and provide the preference centre. The banner offers Accept All, Reject All and Customise. Where consent is required, optional Analytics remains off unless you enable it. In Customise, you can select the optional categories you want and choose Save My Preferences. Reject All keeps optional categories off. You can change your choices or withdraw consent at any time using the floating Consent Preferences button or the Cookie preferences link at the bottom of the page. Rejecting optional cookies does not prevent access to the core website, although optional features may be affected. Withdrawal does not affect the lawfulness of processing based on consent before withdrawal.
Cookie details. The cookie list below and the CookieYes preference centre give the recorded names, providers, purposes and durations of cookies and similar technologies. This includes local storage, which may persist until it is removed rather than expiring like a cookie. CookieYes consent-management storage remembers your choices, currently for up to one year. Google Analytics uses pseudonymous online identifiers; a randomly generated identifier should not be understood as fully anonymous data. We review the inventory when website technologies change and update the controls and this Notice as necessary.
If the cookie list is unavailable, open Cookie preferences at the bottom of the page or contact dataprivacy@acdlimited.com.
Browser and opt-out signals. You may also use browser/device controls. Where applicable law requires recognition of an opt-out preference signal, Alpha will handle the signal in accordance with applicable law and the website’s technical implementation.
8. How we share personal data
We do not sell personal data in the ordinary meaning of selling a list of personal data for money. We may disclose personal data where appropriate to:
Alpha affiliates, offices and personnel who need the information for the purposes described in this Notice;
clients or prospective clients in connection with recruiting/resourcing, business engagements, due diligence or service delivery, where lawful and relevant;
service providers that support managed website hosting, content delivery/performance, cybersecurity, IT, email delivery, cookie-consent management, analytics, document storage and other necessary business operations;
professional advisers, auditors, insurers, banks and other advisers where necessary;
courts, regulators, law enforcement or other public authorities where required or permitted by law; and
a buyer, investor, lender or other relevant party in connection with a proposed or completed corporate transaction, subject to appropriate confidentiality and legal safeguards.
Service providers are expected to process personal data only for authorized purposes and under appropriate contractual, confidentiality, security and data-protection obligations, as required by applicable law.
9. International data transfers
Alpha operates internationally and may process or make personal data accessible in countries other than the country where it was collected, including locations in the United Kingdom, United States, Canada and the United Arab Emirates, and through global service providers. Privacy laws and government-access rules may differ between countries.
Where UK, EU/EEA or other applicable data-protection law restricts international transfers, Alpha will use an approved transfer mechanism or other lawful basis, as applicable. These may include adequacy regulations/decisions, the European Commission Standard Contractual Clauses, the UK International Data Transfer Agreement or UK Addendum, and any required transfer risk assessment/data protection test or supplementary measures. You may contact us for further information about applicable safeguards, subject to confidentiality and legal restrictions.
10. How long we keep personal data
We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including to meet legal, regulatory, contractual, accounting, audit, security and dispute-resolution requirements. Retention periods are determined using criteria such as:
the nature and sensitivity of the information and the purpose for which it is used;
the duration and status of our relationship or the recruitment/business opportunity;
applicable statutes of limitation and legal/regulatory record-keeping obligations;
security, fraud-prevention and audit needs;
whether consent has been withdrawn or an objection/opt-out has been made; and
whether information must be retained on a restricted suppression list so that a marketing opt-out is respected.
When personal data is no longer required, we will delete, anonymize or securely dispose of it, subject to applicable law and technical backup cycles.
11. Security
Alpha uses reasonable and appropriate administrative, technical and physical safeguards designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure or access. Measures may include role-based access controls, authentication, security monitoring, encryption where appropriate, secure configuration and patching, backup and recovery measures, vendor due diligence, confidentiality obligations, incident response procedures and privacy/security training.
No internet transmission or storage system can be guaranteed to be completely secure. If you believe information you provided to Alpha may have been compromised, please contact us promptly at dataprivacy@acdlimited.com.
12. Your privacy rights and choices
Your rights depend on your location, the applicable law and the circumstances of the processing. Subject to legal conditions, limitations and exemptions, your rights may include:
Access: request confirmation and a copy of personal data we hold about you.
Correction: ask us to correct inaccurate or incomplete personal data.
Deletion/erasure: ask us to delete personal data in circumstances provided by law.
Restriction: ask us to restrict certain processing.
Objection: object to processing based on legitimate interests and, in particular, object at any time to direct marketing.
Portability: receive certain data in a structured, commonly used and machine-readable format and, where technically feasible, transmit it to another controller.
Withdraw consent: withdraw consent at any time where processing is based on consent, without affecting processing before withdrawal.
Automated decisions: receive protections relating to decisions based solely on automated processing where applicable. Alpha does not intend to use website information to make solely automated decisions producing legal or similarly significant effects without appropriate safeguards.
Appeal / complain: where provided by applicable law, appeal a refusal of a rights request and/or complain to the competent privacy or data-protection authority.
How to exercise a right. Email dataprivacy@acdlimited.com with the subject line “Privacy Request” and describe your request. We may need to verify your identity and authority before acting. We will not discriminate against you for exercising applicable privacy rights. Where permitted, an authorized agent may submit a request on your behalf subject to verification requirements.
Additional U.S. state privacy rights
If an applicable U.S. state comprehensive privacy law applies to Alpha and to the relevant processing, residents may have additional rights, which can include access, correction, deletion, portability, and opt-out rights relating to sale, targeted advertising or certain profiling. Some state laws apply only when statutory processing or revenue thresholds are met and contain exemptions. We will apply applicable rights based on the law governing your request.
UK / EEA complaints
If UK data-protection law applies, you may have the right to complain to the UK Information Commissioner’s Office (ICO). If EU/EEA law applies, you may have the right to complain to the competent supervisory authority in your country of residence, place of work or where an alleged infringement occurred. We encourage you to contact us first so we can try to address your concern.
13. Children’s privacy
Our corporate website and services are directed primarily to business and professional audiences and are not intended for children. We do not knowingly use the general website to solicit personal data from children under 16. If we learn that personal data was collected from a child through the general website without an appropriate lawful basis or authorization, we will take reasonable steps to delete or otherwise handle it as required by law.
14. Clinical research, pharmacovigilance and health information
Alpha’s services include clinical development, clinical operations, pharmacovigilance, medical affairs, regulatory affairs, data management and related scientific services. Those activities can involve health, clinical-trial, adverse-event or other sensitive information. Such information is governed by the relevant sponsor/client instructions, study or safety notices, contracts, data processing agreements, applicable clinical-research and pharmacovigilance obligations, and other applicable privacy/health laws. This general website Notice is not intended to serve as the sole privacy notice for that processing.
Please do not use the general Contact Us form to report an adverse event or to submit identifiable patient/participant health information unless Alpha has specifically instructed you to do so through that channel.
15. Third-party websites and social media
Our website contains outbound links to third-party websites and social networks, including LinkedIn, Calendly and Google Maps. Our contact-page maps are links, so the Google Maps service is opened only when you follow the link. If you follow an external link, that third party may process personal data under its own terms and privacy notice. Any additional embedded content requires a separate assessment of the privacy information and consent controls that apply. Alpha is not responsible for independent third-party privacy practices.
16. Changes to this Notice
We may update this Notice when our practices, website technologies, services or legal requirements change. We will post the updated version on the website and revise the “Last updated” date. Where a change is material and applicable law requires additional notice or consent, we will take appropriate steps before the new processing begins.
